Cancellation and Refund Policy
This policy outlines the cancellation and refund terms for tour packages and hotel bookings made through Instant Inn Booking.
1. Cancellation by You
- Cancellation Process: All cancellations must be submitted in writing to support@instantinnbooking.com. Cancellation charges are effective from the date we receive your request.
- Cancellation Charges for Tour Packages:
- 45 days or more prior to departure: 30% of the tour cost (deposit forfeited).
- 44–15 days prior to departure: 50% of the tour cost.
- 14–7 days prior to departure: 75% of the tour cost.
- Less than 7 days or no-show: 100% non-refundable.
- Cancellation Charges for Hotel Bookings:
- 48 hours or more prior to check-in: Full refund, minus a $30 processing fee.
- Less than 48 hours or no-show: 100% non-refundable, unless the hotel’s policy allows otherwise.
- Special Periods: Bookings for peak seasons (e.g., 20th Dec to 10th Jan) or special tours (e.g., wildlife safaris) are non-refundable once confirmed.
- Third-Party Services: Refunds for flights, trains, or other third-party services are subject to the provider’s cancellation policy. We will process any applicable refunds but are not liable for non-refunded amounts.
2. Cancellation by Us
- If we cancel a tour or hotel booking due to insufficient participants, force majeure (e.g., natural disasters, political unrest), or other unavoidable circumstances, you will receive a full refund or an alternative package of similar value, at your discretion.
- Refunds will be processed within 14–30 days, depending on supplier timelines.
3. Refund Process
- Refunds will be issued to the original payment method. Credit card refunds may take 7–14 business days to reflect, depending on your bank.
- A KSH 2000 processing fee may apply to all approved refunds, except where we cancel the booking.
- No refunds will be issued for unused services (e.g., missed tours, early hotel check-outs) unless explicitly agreed upon.
- If a refund is issued as a travel credit, it will be valid for 12 months from the cancellation date and is non-transferable.
4. Travel Insurance
- We strongly recommend travel insurance to cover cancellations due to personal reasons (e.g., illness, travel restrictions). Refunds for such reasons are subject to this policy unless covered by your insurance.
