By accessing or using our website and services, you agree to be bound by the following Terms & Conditions. These terms apply to all bookings for tour packages and hotel reservations made through our platform.

1. Booking and Payments

  • Confirmation: A booking is confirmed upon receipt of a deposit or full payment, as specified during the booking process. A booking confirmation email will be sent with details of the package or hotel reservation.

  • Deposits: A non-refundable deposit of 30% of the total booking cost is required at the time of booking, unless otherwise stated. For peak season (e.g., 20th Dec to 10th Jan) or special packages, full payment may be required in advance.

  • Final Payment: The remaining balance must be paid at least 45 days prior to the travel date. Failure to pay by the due date may result in a KSH 500 late fee or cancellation of the booking, with forfeiture of the deposit.

  • Payment Methods: We accept payments via credit/debit cards, bank transfers, or other methods listed on our website. All payments are non-transferable.

  • Pricing: Prices are quoted in KSH and are subject to change due to increases in supplier costs (e.g., hotels, transport, or taxes) until full payment is received. Any such changes will be communicated promptly.

2. Changes and Cancellations by You

  • Changes: Requests to amend bookings (e.g., dates, destinations, or accommodations) must be submitted in writing to support@instantinnbooking.com. Amendments are subject to availability, supplier policies, and a KSH 500 amendment fee per booking, plus any additional costs incurred.

  • Cancellations: Cancellations must be submitted in writing. Cancellation charges are outlined in the Cancellation and Refund Policy below.

  • No-Show: Failure to arrive for a booked tour or hotel stay without prior notification will be considered a no-show, and no refunds will be issued.

3. Changes and Cancellations by Us

  • We reserve the right to modify or cancel a tour or hotel booking due to unforeseen circumstances (e.g., force majeure, insufficient participants, or supplier issues). In such cases, you will be offered an alternative package of comparable value or a full refund of payments made, at our discretion.

  • Minor itinerary changes (e.g., order of activities) may occur without prior notice, and no compensation will be provided unless the change significantly impacts the tour experience.

4. Travel Documents and Responsibilities

  • It is your responsibility to ensure you have a valid passport, visas, and other required travel documents for your destination. We are not liable for any delays, costs, or cancellations due to incomplete or incorrect documentation.

  • You must comply with all health, safety, and legal requirements of the destination, including vaccination or testing protocols.

  • You are responsible for informing us of any medical conditions, dietary requirements, or special needs at the time of booking. We will make reasonable efforts to accommodate but cannot guarantee all requests.

5. Travel Insurance

  • We strongly recommend purchasing comprehensive travel insurance to cover cancellations, medical emergencies, trip interruptions, and other unforeseen events. We are not responsible for any losses incurred due to lack of insurance.

6. Our Role and Liability

  • Instant Inn Booking acts as an agent for third-party suppliers (e.g., hotels, tour operators, transport providers). We are not liable for any failures, delays, or damages caused by these suppliers, including but not limited to flight cancellations, natural disasters, or accidents.

  • We are not responsible for personal injury, loss of belongings, or additional expenses incurred due to your actions or external circumstances.

  • Our liability is limited to the amount paid for the booking, and we will not be liable for indirect or consequential losses (e.g., loss of enjoyment or earnings).

7. Complaints

  • Any issues during your trip must be reported immediately to our customer support team at support@instantinnbooking.com or our local representative to allow us to address them promptly.

  • Formal complaints must be submitted in writing within 14 days of trip completion. We will investigate and respond within 30 days.

8. Governing Law

  • These Terms & Conditions are governed by the laws of Kenya. Any disputes will be subject to the exclusive jurisdiction of the courts in Nakuru, Kenya.
